Entering and Updating Inventory Quantities

The ES 100 tracks inventory at the combination level of each product, because in practice a combination is really a separate physical item.  For example, if you set up a shirt as a product that has a red and blue combination, the system will track the red and blue combination separately. There are two ways to update the inventory counts for an inventory item in the es100.

Please go to the es100, click on the Inventory tab.

Here there are two options for updating inventory:

Edit Levels and Adjust Levels.

Edit Levels_1

Edit Levels is used for entering new inventory items and manually entering the on hand count, Reorder Level, Limit Level, and Max OnHand. This is also useful in the event that inventory counts need to be updated or manually overwritten.

Adjust Levels is used to increment or decrement from the On Hand counts in the inventory warehouses. For example if shipment is received from the vendor, an adjustment for the amount received can be created here. Or if a an item or case breaks, an adjustment can be created to decrement from the on hand totals.

To Edit Levels, please go to the Inventory Tab and click on Edit Levels in the left hand navigation.

Edit Levels_2

  1. Before any information is entered, select the warehouse from the top of the page in the Warehouse dropdown. Since the system will allow as many warehouses as are needed, the warehouse will always need to be selected first before any values on this page will be allowed to save.
    1.  As a default, the active inventory list will display here. If inventory items that are inactive need to be edited, select the Inactive option in the dropdown in the Inventory Status dropdown.
  2. For each inventory item the following can be entered:
    1. On Hand Count
    2. Edit Reason
    3. Reorder Level
    4. Limit Level
    5. Max OnHand – This field is used to show how many of an inventory item can be kept at a time. For example: if selling a very large item like a chair, there may not be enough space in the warehouse for more than 50 at a time.
  3. Once all of the items have been updated with the correct counts, click the Save Button in the left hand navigation.

To Adjust Levels in inventory counts, please go to the Inventory Tab and click on Adjust Levels in the left hand navigation.

Edit Levels_3

  1. Just like on the Edit Levels screen, before any information is entered, select the warehouse from the top of the page in the Warehouse dropdown.
    1. Adjustment Amount
    2. Adjustment Reason
  3. Once all of the items have been updated with the needed adjustments, click the Save Button in the left hand navigation.
