When you created the party set, the Party Invite system also generated a template for all the messaging you may need for the party (invites, confirmations, and reminders) and for all potential recipients (Host, Invitee, Distributor, and Company), for a total of 20 possible email messages. You may create as many or as few of these as you like for the party, but the most important element is, of course, the invite to the Invitee.
Follow the instructions on the following page to create these email messages.
- From the Existing Sets section in the left column of the Party Invites screen, click the name of the party set you just created. The Template Set for that party set displays. When a message is created, the message title displays in the coordinating box for the message. And when the message is enabled for use (its Enabled box is checked), it displays as blue in this template. In the example below, the Party Invite for the Invitee has been created and enabled.
To create an invite, confirmation or reminder for a specific entity in the party, click the Edit button for the appropriate message. The screen for that message then displays.
- From the screen for the selected message, insert your cursor in the From field. Then go to the Merge Codes section on the right side of the screen and select Host, then Host Email to insert the Host Email merge code into this field. This will auto-populate the email address of the party’s host into each instance of the message.
Note: If you don’t enter an email address in the from field, the system automatically populates it with the host email address. Be sure that your consultants are collecting the email address of the host.
Note: Only use one merge code in the from email otherwise the email will not be delivered.
- In the Subject line, enter a catchy title for the message that the recipient will see in their email inbox.
- Now, design the copy for your invite, confirmation or reminder either by using standard text or by using HTML, as shown below.
4a. Click Design to design your invite using standard text. Using the text features included (similar to those in Microsoft Word), you can add formatting such as bold, italics, bullets, numbers, colors, etc. to make the text stand out.
4b. Click HTML to design it in HTML using graphics. In this mode, you can add HTML tags and features to apply web-based styles to the entire message.
- As you design your invite, you may want to insert merge codes at appropriate points in the message to auto-populate specific data (see the Merge Codes section of this guide for information on merge codes).
- Once you have completed the message, click Save to save it.
