Token Manager
This feature will enable the administrator to create custom merge fields that can be used by users in broadcasts and campaigns. Two token types – URL’s and files will be allowed to be added to any broadcast or campaign template. The URL token type will allow the administrator to create a custom merge field that will link out to a specific web page and the file type token will allow a file link to be embedded into an email. Token usage can be tracked by the user in the reporting section of the BBS. This will enable the user to better measure the success of their campaigns and messages.
Create URL Token
To create a URL token click on Admin>Token Manager
Select the token type of URL.
Choose a token name – this name will be displayed in the merge fields for broadcasts and campaigns.
Token value – this should be the website address, please make sure that you use the full URL.
Enabled – This field decides whether or not the user will see this token. “Yes” – token will appear in merge fields. “No” – Token will not appear in merge fields.
Once complete click “Save Info”.
The saved information will now appear in the Custom Token List. There are only two actions available to the administrator from this list – Edit and Delete.’
Create File Token
Click on Admin>Token Manager
Token Name – this will be the name that will display in the merge field area. Please make it as descriptive as possible.
Token Type – Select file, this will ensure that you will be able to upload a file to server that will be linked to the email.
Token value – this is the location of the file on the administrator’s PC or network that will be uploaded to our FTP site.
Enabled – This field decides whether or not the user will see this token. “Yes” – token will appear in merge fields. “No” – Token will not appear in merge fields.
Click “Upload” to place the file on the server.
Once complete click “Save Info”.
If you do not upload a file and click save info the screen will refresh and the “Token Value” will be blank. You will need to go through the process and make sure that you click “Upload”.
The saved information will now appear in the Custom Token List. There are only two actions available to the administrator from this list – Edit and Delete.
File type token does not allow a new file to be uploaded, if “Edit” is selected, it only allows the Token Name to be modified.

Once the administrator deletes a token, all templates that have that token will display “TOKEN_NOT_FOUND”. You will need to remove this text from any template and replace it with another merge field or modify the content of the email so that the missing token is no longer pertinent.
