Accounts are used when it is necessary to import commission values from a Third Party Vendor (TPV). Accounts can be set up as a distributor account or customer account. Prior to setting up an account, Account Types need to be established.
Under the Company tab, click on ES100 Setup.
From there, click on Accounts.
Next, click on Create Acct Type.
1) Enter the Description of the Account Type:
2) From the Subject Type drop down menu, select whether the account type will be used for distributors, customers or both.
3) Enter a description for Detail 1, i.e. “phone number”, “account number”. Detail 1 is used as the matching field for importing data, the description should indicate the matching field in data files provided by your 3rd party vendor that will be used to match imported data to accounts in the ES100.
4) The other Detail fields can be enabled and a description entered however it is not necessary as information imported into these fields is not used by the system. To enable the “Detail” field, click the Enabled box to the right of the field.
5) Months Auto-Active: The default is 0, which means an account will not be considered active unless commissions are imported to the account. This concept of Auto-Active is only relevant to compensation plans that count Active accounts as part of meeting qualifications. If your compensation plan does not have a qualifying count, it can be left at the default.
If your compensation plan does have a Qualifying Count that uses Active accounts to meet various qualifications then the Months Auto-active field should be set based on the company policy and compensation plan specifications.
The field enables you to establish a default time period for the account for which the accounts of this type will considered Active and thus included in Qualifying Counts, regardless of commissions being imported to the particular account.
For Example, if the company sells Z-Tel Local Phone Service, the company may want to allow the account to count towards qualifications immediately upon sign up and entry into the ES 100 even though it may be 2 or 3 months before actual commissions from Z-Tel (the third party vendor in this example) are imported.
Therefore you may want a Z-Tel account to be considered auto-active for 3 months by default. After the 3 months is over, the account would only be considered active and count towards the qualifying count if commissions are imported to the account.
6) In some compensation plans, a distributor is considered qualified based on the number of points they accrue from the account records that are imported. If this is the case, you can enter a number here relevant to the account.
For example, if the company sells Z-Tel Local Phone Service, each customer that activates an account would count for 1 point. Upon paying their bill each month, the imported account record could generate 2 points. These points would accrue and count towards qualification for promotion, etc. for the distributor of the customer.
7) Pay Category Group- will be defined by your compensation plan and developer
8) Click Save.
9) Repeat to set up additional Account Types.
10) To Edit an Account Type, simply click on the Account Type name to open the edit screen.
Setting up an Account
Accounts can be set up for distributors or customers. Since most accounts are associated with a customer record, the instructions that follow are for setting up a customer account. To set up a distributor account the steps are the same; simply start at the distributor record rather than the customer record.
To set up accounts, click Customer tab:
1) Enter the criteria to search for the customer. If you are setting up an account for a new customer, the customer must be entered first. Follow the steps for entering a new customer.
2) Click on the Customer # to open the customer record.
3) Click Accounts from the left navigation bar.
4) Click New
5) From the Account Type drop down, select the account type from the list.
6) Enter the matching criteria in the Detail 1 box. (This box will be named according to the Account Type set up, i.e. phone number). The information in this field must be in the exact format of the data in the import file. For example if it is a phone number like 1234567890, then the data must be in the same format with no characters. If there are characters in the import file, then the characters must be in the Detail 1 matching data. It is common to enter numbers without characters in the ES100 and remove them from the import file to minimize data entry errors and exceptions.
7) Begin Auto-Active Date will default to today’s date. The date can be edited.
8) End Auto-Active Date will default to the number of months from the begin date as set up for the particular account type. This date can be edited for each account to override default settings.
10) Click Save. The account is set up. Repeat to set up other accounts.
